Event Styling Checklist for Birmingham Venues

A polished event setup depends on practical information that guests may never see. Venue access, measurements, supplier timings and collection rules can affect what is possible as much as the colour palette.

Use this checklist when planning styling at a Birmingham venue or elsewhere in the West Midlands. It is general guidance; the venue’s own instructions always take priority.

Room and layout

Confirm the exact room, guest layout and where the main focal point can sit. Request usable width and height measurements and note doors, windows, radiators, fixed screens, stages, sockets and fire exits. Ask whether furniture will already be in position when styling begins.

Access and loading

Record the supplier arrival time, loading entrance, parking arrangements, lift size, stairs and distance from the vehicle to the room. Confirm whether trolleys are permitted and whether security or reception must admit suppliers.

Installation rules

Ask what can be fixed to walls or ceilings, maximum structure heights, permitted electrical equipment and any restrictions on candles, smoke, petals, confetti, adhesives or floor coverings. Obtain approval in writing for anything unusual.

Insurance and documents

Some venues request public-liability insurance, risk assessments, method statements or electrical testing records. Share the venue’s requirements early enough for the relevant suppliers to respond. Do not assume all suppliers carry the same documents.

Check the room at the time of day the event will happen if possible. Existing lighting can alter colours and leave a backdrop unevenly lit. Ask whether additional lighting needs separate permission, power or setup time.

Collection and responsibility

Confirm when the event ends, when styling must be removed and who can access the venue after guests leave. Agree responsibility for hired items and what happens if collection is delayed by the venue or event schedule.
